World Business Media Limited is the data controller and responsible for your personal data.

Personal Data that we collect

Under the EU’s General Data Protection Regulation (GDPR) and the UK GDPR (as defined in section 3(10) of the Data Protection Act 2018), personal data is defined as:

any information relating to an identified or identifiable natural person (’data subject’); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person”.

The personal data we may collect, use, store, transfer and process about you is:

  • Identity Data” such as your first name, maiden name and last name;
  • Contact Data”, such as your  telephone number and email address (which will typically be your work contact data);
  • Financial Data”, such as credit or debit card number, and bank account information where necessary, for processing any order you place with us;
  • Demographic Data” such as the name of the organisation that you work for, your seniority, job function and/or role;
  • Transaction Data”, such as items you have opted to receive from us, purchase amounts, the dates of those purchases and the payment method;
  • Technical Data”, such as your internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access this website;
  • Profile Data”, such as your username and password, purchases or orders made by you, your interests, preferences, feedback and survey responses;
  • Usage Data”, such as information about how you use our website, products and services; and
  • Marketing and Communication Data”, such as your preferences in receiving marketing from us, and your communication preferences.

How we use your personal data

This part of the privacy statement tells you how we will collect and use your personal data. We use different methods to collect data from and about you through:

Why does World Business Media need to collect, use and store personal data?

In order for us to provide you with our products and services, we need to collect personal data to produce and distribute printed material and electronic communications, allow access to our events, to promote our services and to maintain our accounts and records. In any event, we are committed to ensuring that the personal data we collect, use and store is appropriate for this purpose.

We may use your Identity, Contact, Technical, Usage and Profile Data to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which products, services and offers may be relevant for you (we call this marketing).

You will receive marketing communications from us if you have requested information from us or purchased goods or services from us and you have not opted out of receiving that marketing. Please note that if you have subscribed to receive communications from us (which communications can include marketing material and/or promotions), you will continue to receive such communications unless and until you decide to unsubscribe from our mailing list. You can unsubscribe by using the opt-out links in electronic communications we send to you as part of the subscription service you receive from us, or otherwise by contacting us at any time.

In terms of being contacted for marketing purposes not referred to above, World Business Media would contact you for additional consent.

Will World Business Media share my personal data with anyone else?

We may pass your personal data to third party service providers contracted to World Business Media in the course of dealing with you. These third party service providers form part of our supply chain, who manage the content of our website and provide our subscriber system. Any third parties that we may share your data with are obliged to keep your personal data secure, and to use them only to fulfil the service they provide you on our behalf, and in accordance with our instructions. This includes but is not limited to, event registration, subscription fulfilment and email marketing. When they no longer need your data to fulfil this service, they will dispose of the details in line with World Business Media’s procedures. If we wish to pass your sensitive personal data onto a third party we will only do so once we have obtained your consent, unless we are legally required to do otherwise.

How long will World Business Media retain the personal data it collects about me?

World Business Media will not retain your personal data for longer than is reasonably necessary. World Business Media is required to retain information in accordance with the law, such as information needed for regulatory, tax, accounting, reporting and audit requirements..

To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal, regulatory, tax, accounting or other requirements.

Can I find out the personal data that the organisation holds about me?

World Business Media at your request can confirm what information we hold about you and how it is processed. If World Business Media does hold personal data about you, you can request the following information:

  • contact details of the DPO, where applicable;
  • the purpose of the processing as well as the legal basis for processing;
  • if the processing is based on the legitimate interests of World Business Media or a third party, information about those interests
  • the categories of personal data collected, stored and processed;
  • recipient(s) or categories of recipients that the data is/will be disclosed to;
  • if we intend to transfer the personal data to a third country or international organisation, information about how we ensure this is done securely. The EU has approved sending personal data to some countries because they meet a minimum standard of data protection. In other cases, we will ensure there are appropriate safeguards in place to secure your information;
  • how long the data will be stored;
  • details of your rights to correct, erase, restrict or object to such processing;
  • information about your right to withdraw consent at any time;
  • how to lodge a complaint with the ICO;
  • whether the provision of personal data is a statutory or contractual requirement, or a requirement necessary to enter into a contract, as well as whether you are obliged to provide the personal data and the possible consequences of failing to provide such data;

  • any details and information of automated decision making, such as profiling, and any meaningful information about the logic involved, as well as the significance and expected consequences of such processing.

What forms of ID will I need to provide in order to access this?

World Business Media accepts the following forms of ID when information on your personal data is requested:

Legitimate Interest means the interest of our business in conducting and managing our business to enable us to give you the best service/product and the best and most secure experience. We make sure we consider and balance any potential impact on you (both positive and negative) and your rights before we process your personal data for our legitimate interests. We do not use your personal data for activities where our interests are overridden by the impact on you (unless we have your consent or are otherwise required or permitted to by law). You can obtain further information about how we assess our legitimate interests against any potential impact on you in respect of specific activities by contacting us.

Performance of Contract means processing your data where it is necessary for the performance of a contract to which you are a party or to take steps at your request before entering into such a contract.

Comply with a legal obligation means processing your personal data where it is necessary for compliance with a legal obligation that we are subject to.

Your legal rights

You have the right to:

Request access to your personal data (commonly known as a “data subject access request”). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.

Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.

Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.

Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. You also have the right to object where we are processing your personal data for direct marketing purposes. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms.

Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios:

  • if you want us to establish the data’s accuracy;
  • where our use of the data is unlawful but you do not want us to erase it;
  • where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; or
  • you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.

Request the transfer of your personal data to you or to a third party. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.

Withdraw consent at any time where we are relying on consent to process your personal data. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to provide certain products or services to you. We will advise you if this is the case at the time you withdraw your consent.
